Adding Images & Documents

There are a few ways to add images and documents to the CMS.  Some ways are more suitable for certain types of files.  One of the main differences is where to upload the items; the Library, or to the Content folder as an asset.  The differences and best uses for each are summarized below.

 

Library or Asset Item?


Library:

The library folder stores images, files, quicklinks, and hyperlinks that can be inserted into your content.  The library is best used for images.  There are multiple ways to add images to the library, which will be described in more detail below.

Resize Images

Before adding an image to the library, resize them using a photo editing software like Microsoft Picture Manager (Start > All Programs > Microsoft Office > Microsoft Office Tools). The website content area is 700 pixels wide, so images larger than that will be distorted or cut off.

Assets (DMS: Document Management System)

Assets can be added from the content folder.  PDF’s and other documents should be added as Assets, as opposed to Library items.  There are a few advantages to using assets in comparison to the Library for these types of files.

  1. Assets have all content capabilities, like permissions, approvals, and history
  2. Assets are searchable, whereas library items are not

Once you have decided where you need to add your item, you can proceed.

 

Methods for Adding Library Items:


Option 1: Add from the Library tab
 
  library

  1. Click the Library tab on the top menu
  2. Click Add
  3. Give your file a Title.  Use a title that describes the image
  4. Nothing needs to be added in the Summary and Metadata section
  5. Click Save
  6. Your item is now stored in the library and can be added to a content item when needed

Option 2: Add while editing a content item

  1. While in the edit screen of your content item, click on the library icon. libraryicon
  2. A new window will pop up
  3. Click Add Library
  4. Give the image a title and then click on Browse
  5. Browse to the file on your computer and click Open
  6. Click Add library
  7. Your file is now added in the library, as well as inserted into your content item

 Methods for Adding Assets:


Option 1: New DMS Document

  1. Click the Content tab in the top menu and navigate to the folder where you want to upload your document
  2. Click New > DMS Document
  3. Give the document a title
  4. Click Browse and navigate to your file and click open
  5. Click the Metadata tab and fill in the keywords, description, and title (required)
  6. Click Publish

Option 2: Add Asset:

  1. Click the Content tab in the top menu and navigate to the folder where you want to upload your document
  2. Click the Add Assets button on the top menu
  3. A new window pops up.  Click Browse and navigate to your file and click open

*Multiple files can be added by using the Drag Drop feature.  This allows the user to drag multiple documents into the drag drop area to be uploaded at one time. This feature is only compatible with the FireFox web browser and an add-on will need to be installed to utilize this feature.  To install the add-on, follow the instructions below
