Oktoberfest
From: Chandra Daffer
Assistant Director of Student Activities

Memorial Union
Lower Level 014

It is time to begin planning and organizing your organization’s activities for OKTOBERFEST 2008!  Oktoberfest in Hays has been a long-standing tradition for the city and for the Volga German Society.
Your organization can participate in the fall festival by sponsoring a booth on Friday, September 26.  If your group has sponsored a booth before, you know that this is an excellent opportunity to raise money for your organization.  Booths, which sell products, will be required to pay a small percentage (7% of Gross Sales) to the Volga German Society to help defray expenses.  All food items must be homemade.  The number of booths will be limited. Priority will be given to organizations that participated last year.

If your organization decides to sponsor a booth, please complete the Student Organization Space Request Form, a copy of the merchandise design (i.e. t-shirt, koozie, cup, etc) if applicable and the Application for Fundraising ProjectAll forms and designs must be submitted to the Center for Student Involvement (Memorial Union – Lower Level 014) by noon Friday, September 12.
All booth requests and merchandise logos will be reviewed by the Oktoberfest Committee.  The Center for Student Involvement will notify you if your request has been approved or denied.
***DO NOT order t-shirts or items with logos until you receive approval notification from the Oktoberfest committee.***

*SPECIAL NOTE:  if your organization needs a cash box for Oktoberfest, please make sure to complete a request through the IFAS system in addition to marking the request on the Application for Fundraising Project form.  The Center for Student Involvement only asks if your organization is in need of a cash box on the form for informational purposes.

Your organization’s 2007-08 student organization registration renewal form must by submitted to the Center for Student Involvement no later than September 12 to be considered for Oktoberfest. Visit the Student Organization website for FORMS.

Each organization will be responsible for building its own booth--a Bavarian theme is strongly recommended.  Your organization also must furnish its own tables, chairs, etc.  If you have not done so already, your organization may want to think about constructing a permanent booth that could be used from year to year.  The theme for Oktoberfest 2008 is “Let the Games Begin”. Booths should emphasize German history, food and heritage. Oktoberfest will start at 11:00 A.M. Friday September 26, 2008 with Opening Ceremony. You will sell from 11:00 A.M. to 7:00 P.M.

If you need assistance with your booth or have any questions about your menu, you may contact Francis Schippers at (785) 735-2230.

Please remember that September 12 is the deadline for returning Student Organization Space Request Forms to the Center for Student Involvement.  If you have any questions about OKTOBERFEST 2008, please do not hesitate to contact me at 628-4664.

Thank you for your involvement in Oktoberfest & Homecoming activities!  We look forward to an exciting and fun-filled weekend again this year!
