University Activities Board Position Duties and Roles

The University Activities Board (UAB) is a programming organization that initiates many of the activities that make FHSU the focus of community life for students, faculty, staff, administrators, and invited guests. UAB offers events, educational programs, and popular and diverse entertainment for students. The intent is to complement classroom education and to educate, entertain, and enlighten with programs responsive to students wants and needs.

In the context of existing opportunities and resources, the University Activities Board develops a broad selection of programs to meet and identify activity needs through optimum utilization of campus facilities, especially the Memorial Union.

President

  • Preside over all meetings of the UAB.
  • Serve as a liaison between UAB and other campus organizations.
  • Be aware of the Student Government Association and FHSU policies.
  • Be knowledgeable of matters discussed in all UAB committee meetings.
  • Responsible for regular evaluation of UAB’s programming to ensure consistency with its mission and fiscal budget.
  • Assist with the coordination of UAB retreats and workshops with advisors.
  • Work closely with and consult with the Assistant Director of the Memorial Union and other executive officers prior to UAB meetings to develop agenda topics and discuss issues and opportunities.
  • Exercise review and veto power over programs deemed outside the mission and purpose of UAB and FHSU.
  • Represent UAB at Homecoming Committee meetings and assist with Homecoming Parade planning and execution.
  • Required to fulfill 20 office hours each week.

Secretary/Treasurer

  • Responsible for taking minutes and special correspondence at all regular and special meetings, retreats and other appropriate functions of UAB, and sending the minutes to members within 72 hours of the meeting.
  • Responsible for monitoring and maintaining office equipment and supplies.
  • Responsible for working with the officers and advisors to plan the end-of-year UAB recognition event, and retreats or workshops.
  • To attend all UAB meetings.
  • Maintain assessment records compiled and completed by the VP for Programming.
  • Required to fulfill 5 office hours each week.
  • Prepare the UAB budget after consultation with the UAB executives and advisors.
  • Assist the Assistant Director of the Memorial Union in preparing all financial reports to UAB and SGA Allocations committee.

Vice President of Membership and Retention

  • Responsible for coordinating the recruitment and retention of new UAB members.   
  • Maintain unity and morale within UAB with appropriate activities, awards, and recognition.
  • Provide an impressive UAB presence at organization fairs and displays.
  • Assist President and Advisors in planning UAB member retreats, workshops, and social events.
  • Assist with the development of promotional materials for recruiting purposes.
  • Responsible for taking attendance at weekly meetings.
  • Plan an end-of-year member appreciation event.
  • Other duties as assigned.
  • Required to fulfill 10 office hours each week.

Vice President of Advertising

  • Responsible for coordinating the advertisement of UAB events and services.
  • Generate graphic designs and public relations media (newspaper ads, Union display stands, kiosks, publications, advertising programs, incentives).
  • Promote events via various social media outlets.
  • Provide photographic evidence of events taking place.
  • Send out all student emails advertising events in a timely manner.
  • Serve as chair of the Advertising Committee.
  • Other duties as assigned.
  • Required to fulfill 10 office hours each week.

Vice President of Music Programs

  • Responsible for presenting local, regional, and national music acts.
  • Assist the UAB Graduate Assistant in booking musical acts for the After Dark program.
  • Completes advertising requests in a timely manner to assist the Vice President of Advertising.
  • Works with the Assistant Director of the Memorial Union to request and complete contracts.
  • Provide photographic evidence of events taking place.
  • Serve as chair of the Music Committee.
  • Distribute and collect satisfaction surveys after every event.
  • Report any co-sponsorship agreement to the UAB at regularly scheduled meetings for approval
  • Other duties as assigned.
  • Required to fulfill 10 office hours each week.

Vice President of Entertainment Programs

  • Responsible for presenting local, regional, and national entertainment acts.
  • Assist the UAB Graduate Assistant in booking entertainment acts for the After Dark program.
  • Completes advertising requests in a timely manner to assist the Vice President of Advertising
  • Works with the Assistant Director of the Memorial Union to request and complete contracts.
  • Provide photographic evidence of events taking place.
  • Serve as chair of the Entertainment Committee.
  • Distribute and collect satisfaction surveys after every event.

  • Other duties as assigned.

Vice President of Mini Event Programs

  • Responsible for presenting local, regional, and national entertainment acts.
  • Assist the UAB Graduate Assistant in booking entertainment acts for the After Dark program.
  • Completes advertising requests in a timely manner to assist the Vice President of Advertising
  • Works with the Assistant Director of the Memorial Union to request and complete contracts.
  • Provide photographic evidence of events taking place.
  • Serve as chair of the Entertainment Committee.
  • Distribute and collect satisfaction surveys after every event.
  • Report any co-sponsorship agreement to the UAB at regularly scheduled meetings for approval
  • Other duties as assigned.
