Welcome back
as we return to start a new semester. In this newsletter I'd
like to mention a few issues relating to Lotus iNotes, wireless
use, touch panels, and other items of interest.
Lotus
iNotes
Lotus has a new
and improved (much improved) web version of the Lotus Notes
product. For those who access Lotus Notes from home or on
the road, this product should make life somewhat easier. Reading
and deleting E-mail messages is more like the LN client on
your desktop. Working with attachments is more straightforward.
A number of users have lamented the fact that one could not
see one's contact list while on the road. Lotus has addressed
that problem. You can replicate and view both the Contact
list and the To Do list on the server so that it can been
seen via the web.
The iNotes
product does not solve problems with slowness while using
a modem, although it is no worse than the older browser version.
It works best for those who have fast Internet access (cable
modem, DSL, or fast access in other public areas). I am too
cheap to pay for cable or DSL, but I still use it from home
and like the improvements. If I am on the road and can get
into a library lab or university computer lab, it works quite
well.
We have converted
virtually everyone's mail database to iNotes.
The new mail database will not work with Notes 4.6. Those
still running version 4.6 will need to have their Notes client
upgraded. We are not prepared to offer classes yet, but we
should be ready in the near future. Most users will not need
to attend any training in order to use iNotes.
This summer we
plan to roll out the latest version of the Lotus Notes client.
From what I am told, this interface is also improved. It has
the look and feel of many Microsoft products, and so learning
to use it should be relatively painless (although this is
not true of all Microsoft products).
I appreciate your
responses on the web-based survey about Lotus Notes and administrative
applications. As I work through the survey, I will share information
with you. I noticed some comments about Notes being slow when
one uses web browsers from home. As noted above, I certainly
experience that too because I use the standard 56K modem from
home. Unfortunately, there is no quick fix to that problem
unless one is willing to spend more money for a cable modem,
DSL, or satellite connection.
I am certain that
the survey will indicate many people's displeasure about spam
received in your In Box. Again, I know of no quick
fix to that problem either. I am also bombarded by many unwanted
messages. The new version of LN to be installed this summer
has some additional spam-controlling features, but it will
not fully fix the problem. I believe it will take work on
many fronts to address the spam issue: governmental regulation,
consumer protest, industry self-policing, and smarter software.
I am not optimistic about controlling it any time soon. Back

Wireless
in the Classroom
Mark Bannister,
Chairman of Information, Networking, and Telecommunications
(INT), and others have mentioned articles that raise interesting
issues about wireless use in the classroom. We do not have
any wireless classrooms set up yet (with a possible exception
being some experimental INT uses), but we are close to rolling
out wireless access points in Forsyth Library. These wireless
access points allow laptops with 802.11b wireless transmitters
to access the campus network.
Wireless access
provides students a means of accessing the web, their E-mail,
their files, and other resources. In some universities that
have invested money and resources into the project, wireless
laptops have been set up to do real-time surveys (thus giving
real time feedback to faculty). Faculty members can pose a
question and get responses back quickly.
Further, some faculty
have several students work in groups on a common project.
Faculty members can be quite creative in sharing student's
work with the class as a whole, and they can have students
work individually or collaboratively on a host of projects.
So, wireless connectivity can be a very good thing.
On the other hand,
this technology often has a downside. Most students (based
on observations of a scientifically selected sample - my son
and my daughter) use chat services extensively. They love
to communicate in real time with others using the Internet.
AOL and other services make it very easy to chat with others.
While this can be a powerful tool, it can also be a powerful
distraction. A significant number of students use their wireless
connection to communicate with other students (in or out of
the same classroom) and tune out the learning opportunities
in the classroom. Some institutions are choosing not to install
wireless access points for use in academic classrooms because
of this.
I think this issue
is worth discussing at ITPAC (and perhaps elsewhere). If you

Touch
Panels
Jack Jackson
and Odus Trober of Mediated Classroom Support,
are converting the controls in many of the Mediated Classrooms
from mechanical devices into small touch screens. They did
a pilot test in several classrooms and refined the programming
of the devices before installing them en masse. After you
have had time to use them, we would like to contact you and
get your feedback.
They have two goals
in programming the panels: 1) to provide a uniform interface
in all classrooms regardless of make and model of equipment
installed and 2) to help preserve the bulbs in the LCD projectors.
By automatically turning off the projectors after a period
of disuse, this reduces the cost of replacing bulbs (each
bulb costs $300 - $400). Back to Top
Congratulations!
Congratulations
to Mike Nease (CTC Microcomputer System Support
Manager) and his wife Wendy on the birth of their first child,
a son, Samuel Brayden Nease, on December 16, 2002. Samuel
weighed 6 lbs 10 ounces and was 18.5 inches long. All are
doing fine.
Congratulations
also go to Jackie Ruder (CTC Programmer/Analyst)
and her husband Chad on the birth of their first child, a
daughter, Shannon Nichole, on January 28, 2003. Shannon weighed
5 lbs 3 ounces and was 18 3/4" long. Mother and baby

Attention
New Faculty and Staff. . .
Here's how to apply for Internet service
through FHSU
Fort Hays State
University provides Internet service to faculty, staff, and
students through "Internet Dial-Up" accounts. Dial-up
uses your computer's modem to connect to the Internet through
FHSU's Cisco remote access servers. The system houses 56K
V.90 modems. Using remote access, you can check your E-mail,
download shareware, run statistical software, access the Internet,
and do a variety of other tasks.
Internet Dial-Up
accounts are available only to FHSU students, faculty, and
staff. There are some minimum system requirements a computer
system must meet in order to access the Internet.
If you are interested
in applying for an account, just stop by the CTC HelpDesk
to complete an application. A photo ID is required. There
is no service fee for faculty or staff accounts.

Accessing
LN from Off Campus
In order to access
your Lotus Notes E-mail from off campus, you must
have Internet service (such as an Internet Dial-Up account).
The most popular (and recommended) method of accessing Lotus
Notes is explained here:
Browser
Access is simple to use and also provides access
to some other features besides E-mail, such as calendars and
the FHSU Address Book. First, establish an active Internet
connection. Next, open an Internet browser and go to http://tiger.fhsu.edu.
To open your mail, click on Faculty/Staff E-MAIL Access,
and then enter your Lotus Notes User Name

Access for On-Campus Labs
A Scatcat
login is required for accessing many on-campus computer labs.
A link to logon information and a current list of labs using
this login is located on the CTC HelpDesk home page.
Faculty Scatcat
accounts have been set up for many faculty who frequently
work in computer labs. If you need access to one of these
labs, call or stop by the CTC HelpDesk to find out if an account
has been created for you or to request an account. Please
allow up to two working days for the creation

Lifetime
Scatcat E-mail Accounts Issued to FHSU Students
All FHSU
students are automatically issued a lifetime Scatcat
E-mail account upon enrollment. The accounts require an activation
process that allows students to set their own passwords. An
account must be activated before it can receive E-mail. Students
who have already activated their accounts may continue to
use them as before. Students who have not previously used
their Scatcat E-mail can activate and begin using their accounts
by doing the following:

New Logon
in Tomanek Labs & Other Campus Labs
Effective immediately,
in order to logon to any of the computers in TH121, users
must login with their Scatcat ID and password. Any instructor
who has reserved the TH121 lab for classes and plans to use
MS Office applications such as Word, Excel, PowerPoint, Access,
or Internet programs such as Netscape or Internet Explorer
will also need a Scatcat ID and password in order to logon.
Account activation may take one hour or longer; so it is imperative
that your Scatcat account is activated prior to using the
TH121 computer lab for your class reservation. The logon screen
will display the following information and all information
must be entered in lowercase:

Reserving
CTC Labs
The CTC TH123 Mac
Computer Lab and CTC TH121 Pentium Computer Lab are available
for reservation by current faculty and staff. If any FHSU
club or organization wishes to reserve the lab, the club or
organization sponsor must submit the request. Faculty or staff
must submit a CTC Request for Services
and click on the Information Center button
to reserve a lab. List the following information for each
reservation: department, course number, section and course
name, dates and times needed, instructor name, and how many
students are in the class. We are unable to schedule
the labs without this request and you may not bring a group
over to use any CTC lab without a reservation. You may have
your secretary submit the request for you.
Prior to submitting
the request, please view the Lotus Notes TH123
Lab (Mac) Calendar or TH121 Lab
(Pentium) Calendar to see if the desired lab
is available by doing the following:
- Access your
Lotus Notes calendar, click on the Tools
button, and select Open calendar.
- From the FHSU
Address Book, search for calendar in the Open Calendar
dialog box and then scroll through the list of calendars
to find either lab.
- Click on the
desired calendar and then click the OK
button.
- View the dates
you want for your lab reservation and check if the lab is
available.
- If the desired
lab is available, submit a Request for Services
to reserve the lab. If the desired lab is unavailable, check
the FHSU
Computer Labs Information Page to see if another
campus lab is available.
If the Tomanek
Hall Computer Lab reservation for workshops, classes, or seminars
needs to be canceled, please submit a CTC
Request for Services or send a note to vzimmerm@fhsu.edu
so that we can cancel your lab reservation. Please keep in
mind that each lab has a limited seating capacity and one
workstation at the front desk for the instructor.

Hints and Tips. . .
Inbox Incoming
New Mail Option
If you would like
to view your incoming new mail at the top rather than the
bottom of your Inbox mail list, there is an easy way to set
this option.
- Open your LN
Mail.
- Click the small
triangle in the Date heading column on your Inbox
page that lists all of your mail.
- Choose File,
Preferences, User Preferences.
- Choose Basics.
- Under the Additional
Options section, select Retain View column
sorting.
- Click OK.
Now your Inbox
listing of mail will show the most current notes at the top
instead of the bottom. If you want to change it back, click
the small triangle in the Date column and repeat
the above steps. If you need assistance with using this option,

LN Browser
Options
Changing
Browsers in Lotus Notes
Many users find
the default Lotus Notes browser cumbersome. If you wish to
change the default LN browser to another browser, such as
Internet Explorer, do the following:
- Go into File.
- Choose Mobile.
- Choose Edit
Current Location.
- Click the drop-down
menu for Internet Browser.
- Select Microsoft
Internet Explorer (or Netscape Navigator).
- Click OK.
- Click the Save
and Close button.
Then, the next
time you are reading your LN mail and click on an URL listed
in a note, you will be able to access the site from Internet
Explorer rather than the default LN browser. Back

Adding
Links to LN Notes
In Lotus Notes,
it is simple to include a link in a note. In the body of the
note, enter the complete URL such as the
following: http://www.fhsu.edu/ctc/labs/
. It is also recommended that you leave a space between the
last character of your link and the period if your link is
at the end of a sentence as shown in the above example. It
will not look like a link in the note that you are composing
but it will look and function as a link in the recipient's
note.
Another method
for putting a link into a note is to cut the link from the
URL address box from your browser and paste it into your note.

Reply with
History Hint
Have you ever selected
the Reply with History option only to find that the
note to which you are replying does not show up in the bottom
part of the Reply window? This is normally because
the sender selected the Prevent Copying option under
the Delivery Options prior to sending the original
note. The Prevent Copying option is a deterrent to
copying or printing a note.
If this is the
case and you need to refer back to parts of the original note
as you enter your reply, check the row containing the task
buttons to your open LN applications. The task buttons look
like folder tabs and are located just below the row of pull-down
menus (File, Edit, Create, View, Actions, and Help).
Click on the tab
to the left of the New Memo tab (it should contain
the Subject of the note to which you are replying).
While entering your reply, click between the two tabs - the
window that contains the original note and the window that
contains your reply. When finished entering your reply, click
the Send button. If you need assistance, contact

Switching
Between LN Windows Quickly
Every time you
open an application or window in LN, such as your mail, calendar,
FHSU Address book, Reply, or database, a task button
appears below the row of pull-down menus. These task buttons
make it handy to switch between one active LN window to another.
Click the task buttons (look like folder tabs) of your choice
to toggle between active windows.
Task buttons can
be closed by pressing the ESC button or by
clicking the "X" in the upper right-corner
of the task button. Be careful not to click the "X"
in the upper right-corner of the active window or you will
exit Lotus Notes. Back to Top
Book Marking
Favorite LN Tasks
If you frequently
perform the same task and would like to access it quicker
without having to go through a lengthy series of steps, you
might want to bookmark it. For example, if you often work
with other calendars for other faculty or staff in your office,
each time you want to access a particular calendar, you have
to go through a series of steps to open it. If you bookmark
that calendar, you'll only have to open the bookmark folder
and then select the desired calendar. This is much quicker.
If you would like
to bookmark a calendar (or other document), open that
particular calendar (or document). Click
the task button tab with your left mouse button and
while holding down the mouse button, drag the tab
to the left side of the LN window in the row of bookmarks
and place it over the Favorite Bookmarks
icon and let go of the mouse button. This will place the calendar
for that person into your Favorite Bookmarks folder;
then, in the future you may click on your Bookmark Folder
icon to access this particular calendar quicker.

Save Sent
Mail Options
If you would like
to check or change your sent mail options, follow these steps:
- Choose File,
Preferences, User Preferences.
- Click the Mail
and News icon on the left side of the User Preferences
dialog box.
- In the lower
section of the dialog box, under the Sending section,
click the drop-down arrow and you will see three options:
Always keep a copy, Don't keep a copy, or Always
prompt. Select one of these options.
- Click the OK
button.
The first two options
are self-explanatory. If you select the Always prompt
option, each time you send a note and click the Send button,
a dialog box will appear asking whether or not you wish to
keep a copy of the note. By using the Always prompt
option, you can save yourself time in not having to go through
your Sent folder as often to delete unwanted notes.

Printing
a Listing of Your Inbox or a Particular Folder
Some users may
want to print a listing of all their notes in a View or a
particular folder so that they can see what notes can be deleted
or what they need to keep. If you would like to print a listing
of all the notes in your Inbox or a particular folder, follow
these steps:
- Open
your Inbox to the main Inbox screen that displays
a list of all of your mail. (To print all the notes in a
particular folder, open that folder.)
- Choose File
and select Print.
- Under the Content
section, choose Print View.
- Click OK.
This will print
ONLY a listing of all your notes from a view or folder that
includes Who, Date, and Subject. To print
only selected notes from the Inbox view or
a particular folder, select the documents first by clicking
in the selection column (narrow column to the left of the
Who column). Then follow the above steps. When you
print, it will only print a listing of the selected notes.

Quick Way
to Delete Old Calendar Entries
If you have a considerable
amount of old calendar entries from several years back that
you'd like to delete, there is a quick way to delete more
than one calendar entry at a time. Follow the instructions
below but always be careful when deleting any entries from
the All Documents folder so that you don't delete
any entries that you need. The All Documents folder
contains all LN entries that are currently
in your Mail and Calendar database.
- Open your LN
Mail and double-click on the All Documents folder.
- Scroll to the
beginning date from where you want to start
deleting calendar entries.
- If you
have a considerable amount of mail, sort by
Name and then scroll through the list of entries
in the All Documents folder and select
the calendar entries that you want to delete by clicking
in the Selection Column (thin column located
to the left of the Who column). This will place
a check mark next to those entries that you wish to delete.
- After you have
marked your entries for deletion, press the Delete
Key. A trash can icon will now appear in place
of the check marks.
- Press the F9
Key to refresh the screen. A dialog box will appear
asking Do you want to delete # documents that are currently
in the Trash Folder of the database Your Name? Click
the Yes button. The selected entries will
be deleted. Back to Top
Posting
Personal/Confidential Appointments on Calendar
If you occasionally
find it necessary to post a personal or confidential appointment
on your LN calendar, follow these steps:
- Enter the Subject,
Beginning and Ending Dates and Times
for your calendar entry.
- Click on the
Options tab.
- Click the box
next to Mark Private.
- Click the Save
and Close button.
That will post
the entry on your calendar; you will still be able to see
the entry on your calendar but others viewing your calendar
won't. If anyone tries to schedule a meeting with you during
that time period and checks the calendars of the invitees
for any scheduling conflicts, that time period will show as
busy for your calendar. Back to Top
Adding
Holidays to Calendar
LN 5.0 includes
several choices of holiday sets that you can add to your calendar,
if you wish. Each holiday will be added to your calendar as
an anniversary. The holidays automatically have the option
Pencil In selected. This keeps holidays free in your
free time schedule. To show the holiday as busy, open the
holiday entry, click Options, and deselect the Pencil
In option by clicking on the box next to the option.
You can add additional
holidays (ones that are specific to FHSU) to your calendar
by creating a new calendar entry as an anniversary. Before
adding the holidays to your calendar, look at your calendar
and make sure that you have not already added them. To add
the holidays to your calendar do the following:
- Open your
calendar, choose Tools, and choose
Import Holidays.
- Select the
holiday set(s) of your choice. You may
choose more than one holiday set; however, usually you will
only have to choose the United States set. A dialog
box will appear when finished adding the holidays to your
calendar.
- Click OK.
You may add individual
or additional holidays by going to a particular date and keying
in the holiday. If you do not observe a particular holiday
that has been added to your calendar, you may delete it. To
remove a holiday entry from your calendar, go to the
day of your calendar that lists the holiday, select
the holiday, press the Delete key,
and then click the Yes button to delete the holiday. This
entry will be deleted. Back to Top
Changing
Your LN Passwords
We've received
a number of calls recently from users who have forgotten how
to change both their "Client" and "Internet"
passwords for Lotus Notes. The "Client" password
is the password that is used when accessing Lotus Notes at
your office workstation. The "Internet" password
is the password that is used when accessing Lotus Notes from
the Web interface or via the POP3 server
The information
to change both the Client and Internet passwords follows.
Now might be a good time to change both passwords.

Changing
Your Client Password
If you are using
the LN Client and want to change the password, follow these
steps:
- Choose File,
Tools, User ID.
- Enter your
current Notes password and then click OK.
- Then click
the Set Password button in the User ID
dialog box.
- Enter your
old password and click OK.
The Set Password dialog box appears.
- Enter your
new password and click OK.
- Enter your
new password again and click OK.
Notes then accepts the new password and you see the User
ID dialog box.
- Click OK
to exit the User ID dialog box.
You may continue
working; however, from now on, you must use your new
password the next time you start Notes or if you clear your
logon.
Passwords are case
sensitive and must have at least four characters. You may
use letters, numbers, or a combination of letters and numbers.
Try not to use a password that is easily guessed. Never use
"lotusnotes", your "LN ID", "the
last four numbers of your SSN", or anything that would
be easily guessed such as your "birthday" or "phone
number" as the password. Be sure to change your password
anytime you feel that it has been compromised.
The password always
goes with the user ID. It is specific to the user.id file
on the computer that you are working on. The password is secure;
it never goes out over the network. Back to

Changing
Your LN Internet Password
We recommend that
each time you change your LN Client password you also change
your LN Internet password just for the sake of convenience.
It will be easier to remember the passwords if you keep these
passwords the same. However, the passwords may be different
if you so choose.
For the average
user who is just occasionally checking E-mail from home or
looking at the calendar, it may be easier to do this using
the browser. The browser address for checking your E-mail/calendar
when you are away from your desk or at home is http://tiger.fhsu.edu.
You must logon
to the LN Client to change your LN Internet password; if you
use LN through browser access only, contact Viv
at 4031 or Jane at 5819
to change your password. Follow these instructions to change
your Internet password:
- Open the FHSU
Address Book on the NotesHub Client and click on
People in the Navigation Pane.
- Search for
your name or use the Scroll bar
to find your name. Double-click on your name
to display your personal information.
- Click the Edit
Person button. Under the Basics tab, go
to Internet password and highlight
the data that is shown (it is an encrypted version
of your current password) and type in your new password
to replace it. Write down your password and keep it in a
secure (locked) place.
- Click the Save
and Close button. LN will automatically encrypt
your password upon exit.
This will change
the password used to access your E-mail through use of the
POP3 server (for example, if you access your E-mail using
Internet mail software, such as Netscape Mail) and the password
used to access LN through an Internet browser. Back

FHSU CTC
Handbooks Database
We've created an
R5 Beginning Lotus Notes Client Handbook in a database on
Lotus Notes. It contains basic information to aid you with
answers to questions that you may have in using version 5.0.
Use the following
instructions to load this database to one of your LN Bookmark
folders (Favorites or Databases) for later reference:
- Click on File,
select Database, and select Open.
- Change the
Server to NotesHub/FHSU.
- Under the Database
section, scroll down to the yellow apps
folder.
- Double-click
on apps to open the folder and scroll to
find the FHSU CTC Handbooks database.
- Select FHSU
CTC Handbooks and click on the Bookmark
button.
- In the Add
Bookmark dialog box, click the name of the
Bookmark folder that you'd like to place it in
(usually the Favorites or Databases Bookmark folder)
and click OK.
- When finished,
close the Open Database dialog box by clicking the X
in the upper-right corner.
When using the
FHSU CTC Handbooks database, make sure that you are viewing
it By Category. Use the sections R5 -
Beginning or Intermediate Lotus Notes 5.0 Client Handbook

It's Your
Responsibility. . .
It is the responsibility
of each Lotus Notes user to keep his/her
LN FHSU Address Book information updated.
Many campus users
check the electronic directory when looking up phone number
and office location information. In addition, the on-line
LN requests also use the information contained in the FHSU
Address Book for retrieving information for Requests for Services,
Workflow applications, and security form routing.
Please check your
information to ensure that it is correct. Check the following
fields under the Work tab: Title, Company,
Department Name, Location, Manager (make sure to pick
from the drop-down box), Office Phone, FAX Phone, Pager
and Department Number (six digit budget number).
The fields under
the Home tab are optional; however, if you'd
like, you can fill in your Street address, City, State/province,
Zip/postal code, Country, Home phone, FAX phone, and Spouse
information. The address book is simple to update. Follow
these instructions:
- Access the
FHSU Address Book.
- Click on People
and find your entry.
- Click Edit
Person.
- Click the Work/Home
tab and the Home tab, and if necessary
update the info.
- Click the Save
and Close button.
