Looking for the JV Caprez Field Day recording? Unfortunately, we can’t post it here.
Because of increased attendance, we had to switch to Zoom Webinars this year. Since Zoom Webinars are managed by TILT, not the department, we cannot control how they are recorded. TILT connects the webinar recording directly to our university Panopto account, which records everything you see during the event. Because the recording included not only the audio and video of the event, but also the chat box where students were participating, we cannot post it publicly. Here is a quick breakdown of why:
- Student Privacy and FERPA: Under the Family Educational Rights and Privacy Act (FERPA), any audio, video, or text from a meeting that includes a student's Personally Identifiable Information (PII) is considered a protected education record.
- The Chat Box Counts: Even something as simple as a student's first and last name appearing in a Zoom or Teams chat log qualifies as PII.
- Keeping Things Private: While students identified themselves voluntarily during the live event while participating in the chat, FERPA strictly prohibits us from further disclosure of student PII without explicit written consent. Posting the recording to a public platform like this one, where anyone on the internet could see it, would release that protected information to unauthorized third parties.
Recording the sessions to give participants access to them following the event and to preserve the information for future use is important to us. In future events, we will take steps to ensure that the recording does not include the chat box. If we cannot prevent the chat from being included in the recording, we will not be able to offer a public chat box during future events. Thanks for attending the JV Caprez Field Day!
