DETAILS FOR FACULTY LEADERS
2027 Summer Alnwick Program
The FHSU Alnwick faculty-led short-term summer program is open to faculty leaders with all levels of experience and from all disciplines employed by Fort Hays State University.
About 15 months prior to the program start date (March 1), Global Affairs will announce an opportunity for interested new Faculty Leaders. Those interested will then begin the preapproval process and submit a program proposal application on Tiger Travel between April 1 and July 1.
The faculty‑led customized extension is a new optional component of the FHSU Alnwick program. Upon completion of the program’s core itinerary—an eight‑night stay at Alnwick Castle and a two‑night stay in York facilitated by Global Affairs staff—Faculty Leaders may elect to design a one‑ to four‑day academic travel experience that supports the associated course. Faculty Leaders who elect to lead an Extension will create an itinerary that deepens engagement with course themes through additional site visits, field‑based learning, or discipline‑specific activities. This flexible model enables faculty to tailor the experience to their academic expertise while offering students an enhanced, high‑impact learning opportunity. Faculty leaders and their departments are fully responsible for the planning and coordination of all extension logistics, including lodging, transportation, and on‑site facilitation. Departments will be responsible for managing the budget and all costs associated with the extension. Global Affairs staff will not accompany faculty during the customized extension period.

Responsibilities of the Faculty Leader
The faculty leader will be responsible for the following:
- Design and teach an associated course to align with the 2-week travel component.
- Serve as the point of contact and administrator on Tiger Travel for your student applications.
- Review and accept all student applications on the Tiger Travel platform.
- Monitor submission of all pre-departure forms on the Tiger Travel platform.
- Attend all orientation sessions hosted by FHSU Global Affairs.
- Review all health and wellness needs of each student traveler and take special consideration of students with accommodation or health and wellness needs.
- Oversee risk management for students before departure and while on program.
- Travel with the group to and from United Kingdom.
- Serve as a supervisor and mentor for student travelers during travel and while on program.
- Oversee the collection of deposits and final payments from students with department administrative assistance.
Department Responsibilities
The hosting department will be responsible for the following:
- Add the associated course to Workday and advise students through the registration process
- Provide financial support for lodging, meals, and travel expenses as determined by the department
- Assist with marketing and recruitment of students
- Collect down payment and final payment from students participating in the program
- Track payments and forms submissions with the FHSU Alnwick collaborative tracking form
- Support the Faculty Leader during pre-departure planning
FHSU Alnwick Faculty Leader Base Program Budget
Faculty Leaders will work with their department and college to request support for any expenses associated with the FHSU Alnwick program.
Faculty Leader Baseline Package Cost
Faculty Leaders will pay the FHSU Global Affairs Office the Base Program fees.
Department payments will be administered by the department’s administrative assistants who will pay the designated cost center through Workday. Any portion of the program cost not covered by the department or college will be the responsibility of the faculty leader.
Faculty-Led Customized Extension
The costs associated with the customized extension and all additional expenses are the responsibility of the faculty leader and/or department and are not included in the Base Program cost paid to FHSU Global Affairs.

Collection of Funds For Student Travelers
Departments will collect all payments from student travelers who have been accepted to the program. Departments and administrative assistants will follow all processes and procedures as outlined in the FHSU Alnwick Payment Process & Guidelines.
Administrative assistants will track all payments and form submissions on the FHSU Alnwick collaborative tracking form provided by the FHSU Global Affairs Office.
Associated Course
The Faculty Leader and hosting department will design an associated course to align with the 2-week travel component. The course will be offered during the Spring 2027 term. The Faculty Leader and department will assist students with course registration as needed. Students will register and pay tuition for the course through Workday. Faculty Leaders will submit all academic information and confirmed course syllabus with their program proposal application on Tiger Travel.

Faculty Leaders will stay onsite at Alnwick Castle for the 1-week portion of the program in private bedrooms offering a queen-sized bed and ensuite bathroom. Common areas and classroom space are also available. All travelers will stay at the YHA Hostel while in York.
All meals are open and will be paid out-of-pocket. A public cafeteria and food trucks are available onsite during the week for snacks and lunches. Alnwick village offers many restaurant options and a grocery store.
Information about all transportation needs will be shared at the All-Traveler Orientation.

Transportation during the program could be one of the following:
- Private coach (airport pickup and transfer to York)
- National Rail system
- Public bus
- Rideshare service
